20 Tips to Use Apple Notes App on iPhone and iPad to Be a Master of It
#1. Change Default Notes Account Location
Did you know that you could change your default notes account location? By default, your files are saved in the iCloud. However, you can choose to keep them locally on your iOS device or even Gmail.
To do so, head over to Settings app → Notes → Now, you can turn on the switch next to On My iPhone Account to save the account locally. Besides, if you wish to store the notes to Gmail, tap on Default Account and choose it.
#2. Perfectly Sort Notes
One of the simplest ways to keep your notes in line with your workflow is to ideally sort them. You can choose to segregate your files based on Date Edited, Date Created and Title.
To get it done, open the Settings app on your device → Notes → Tap on Sort Notes By → and then choose the preferred option.
#3. Recover Deleted Notes
You’ve accidentally deleted an important note and regret your action. No longer! iOS lets you restore the deleted notes with ease.
All you need to do to bring those removed files into life again is open the Notes app and head over to the Recently Deleted folder → tap on Edit at the top right → tap on the notes which you want to recover and then tap on Move To at the bottom left → tap on Notes folder.
Alternately, when you are in the Recently Deleted folder, tap on the note you wish to restore. Then, double tap anywhere on the screen. A popup will show up on the screen, tap on Recover.
One thing worth remembering is that you will be able to restore the deleted notes only within 30 days. Then after, the app will permanently delete them.
#4. Export Notes As PDF
PDF (Portable Document Format) remains the most popular file format across the spectrum. And the best thing is that you don’t need a third-party tool to convert your notes into this format.
If you ever decide to export your note as PDF, simply hit the share button and then choose Create PDF in the Share Sheet → next you can annotate the file using the Markup tool.
Once you have annotated the note, tap on Done button → Select Save File To and then save it in the Files app.
Note: If you want to send the PDF file via email or Messages, tap on the share button and then choose the preferred medium to send it.
#5. Search Within Notes
Imagine a situation where you want to easily jump to the specific points in a long note or rather scan through some of the main points. What would you do? Read the file–line to line! It would be hell time consuming and old-fashioned.
There is a built-in search tool that allows you to quickly search within notes. Simply tap on the share button and then select Find in Note button in the share sheet.
On the next screen, enter the word that you want to find. The word will be automatically highlighted. You can use the upward/downward arrow to navigate through the highlighted word.
#6. Add Notes to Lock Screen
Times when you are on a long shopping spree and have to often take a peek at the checklist; you’d want to make it easier to access the list. That’s why it would be apt to add your Notes to the Lock screen so that you can jump into them instantly.

#7. Add Notes to Control Center

To add it, open Settings app → Control Center → Customize Controls → Find Notes under More Controls section and then tap on the “+” button to the left of it.

#12. Organize Notes in Folders
There are several ways you can keep all of your notes organized. And one of them is to create a specific folder for a particular thing. Say, you like saving interesting parts of stories that you come across. Make a special folder for it so that you will be able to access all of your saved stuff quickly. It can go a long way in keeping everything in the perfect order.
To create a folder, head over to the folders screen. Then, tap on New Folder → give it a suitable name and hit Save.

Let’s say you are planning a wonderful trip and using Google Maps to find out more about the destination. You’ve collected some vital info like restaurant address and want to save it to your notes. Well, you can easily add an attachment to it from a third-party app.
All you need to do is smash the share button and select Add to Note in the share sheet. In the end, drop the attachment to your preferred note.
#14. View all of your Attachments
If not managed properly, attachments can clutter the entire app. The good thing is that you can easily keep track of all the added stuff.
To do so, launch Notes app → open a folder → hit the attachments button at the bottom left.
On the next screen, you should see all of your media files and other stuff in different categories like Photos and Videos, Sketches, Scans and more.
To find out in which note a particular attachment has been added, tap on Show All next to a category → touch and hold a file and then tap on Show in Note in the popup window.

On your iPad, tap on the small keyboard icon to hide the keyboard.

#20. Lock Your Note
Just when I was about to wrap up this roundup, this one struck my mind. And frankly speaking, I just didn’t want to miss out on this security feature. If you don’t want anyone to bump into your private note, you can lock it out. It’s dead simple to do.
Simply launch Settings app → Notes → Password → enter the password and verify. You will also need to enter a hint. In the end, tap on Done to confirm
Now, if you want to lock a note, head over to it and open the same in the Notes app → tap on Share button → Lock Note and then enter the password and hit OK in the popup to confirm.

With the Notes app, you can lock your notes with a password, or Face ID or Touch ID on supported devices.*
If you're signed in to iCloud with a Managed Apple ID, you can't lock your notes. Also, you can only use Touch ID on a Mac that has a Touch Bar or Touch ID power button.
Before you begin
- Update your iPhone, iPad, or iPod touch to the the latest version of iOS or iPadOS and your Mac to latest version of macOS.
- Turn on Notes syncing in your iCloud Settings or System Preferences, or make sure that you use notes stored locally on your device. Notes accounts that sync from a third-party service, like Gmail or Yahoo, won't include some Notes features and can't be locked.
Set up your notes password
Before you can lock your notes, create a password that you can easily remember. And make sure that you give yourself a password hint. If you forget your password, Apple can't help you reset it.
If you access your iCloud notes on more than one Apple device, you'll use the same notes password to lock and unlock all of them.
* If you enable Face ID or Touch ID for your notes password, it adds the encryption keys used to encrypt your notes to your keychain — which can be accessed with your device passcode. This means that anyone with your device passcode can access your locked notes. For maximum security, you can opt to not enable Face ID or Touch ID for your notes password.
On your iPhone, iPad, or iPod touch
You can create a password in your device Settings or directly in the Notes app. Then you can enable Face ID or Touch ID, so that you can use your face or fingerprint to unlock your protected notes.

- Go to Settings > Notes.
- Tap Password. If you have multiple accounts, tap the account you want to create a password for before you set up the password.
- Enter a password, then make sure to give yourself a password hint. If your device supports it, enable Face ID or Touch ID.
- Tap Done.

You can create a password on your Mac directly in the Notes app. Here's how:
- In the menu bar, click Notes > Preferences, then click Set Password.
- Enter a password. If you use multiple accounts, click the account you want to create a password for before you set the password.
- Give yourself a password hint.
- Click Done.
Use Notes password-protection
Whether your note has an image, sketch, inline drawing, map, scanned document, or list of important information, it's easy to keep it safe with password-protection. And when you need to access your secure notes, you can tell which ones are locked directly from the Notes list. Just look for the Lock icon next to the note. Until you enter your password, use Face ID, or use Touch ID, you only see the title and the last date that it was edited.

On your iPhone, iPad, or iPod touch:
- Open the note that you want to lock.
- Tap the Action button.
- Choose Lock Note.
After you lock your note, it stays open and you'll see the Lock icon at the top of the screen. You can hide the note's contents when you tap the Lock icon .

All notes locked with that password are unlocked. Your locked notes stay open for several minutes, making it easy for you to jump to another note, copy and paste information from other apps, and more. If you close the Notes app or your device goes to sleep, the note locks again.
Remove a lock

You can only lock notes on your device and notes in iCloud. You can't lock notes that have PDFs, audio, video, Keynote, Pages, Numbers documents, or notes that use IMAP to sync (like Yahoo, Gmail, and Hotmail). You also can't password protect notes that you share with someone else. If you want to stop sharing a note, open , then tap or click Stop Sharing.

- Go to Settings > Notes > Password.
- Tap Change Password.*
- Enter your old password, then enter a new password and password hint.
On your Mac:
- Open Notes.
- In the menu bar, choose Notes > Preferences, then click Change Password.*
- Enter your old password, then enter a new password and password hint.
- Click Change Password.

If you forgot your notes password
You can unlock a note only when you enter the password that it's locked with. If you forgot your password, Apple can't help you regain access to your locked notes.
You can create a new password, but this won’t give you access to your old notes. But it will let you password protect any notes that you create going forward with the new password. This could lead to you having multiple notes with different passwords.
If you have multiple passwords, you can't tell which password you should use when you look at your notes in the Notes list. When you open a note locked by your old password but enter your current password, you'll see an alert that you entered the wrong password with a hint for your old one. If you then enter the correct old password, you get the option to update that note's password to your current one.
